Key City Surface Solutions ("Key City", "we", "us") is a locally owned business in Cranbrook, British Columbia. We do roof rejuvenation and concrete protection in the East Kootenay, and we build websites for small businesses. This policy explains what personal information we collect, how we use it, who we share it with and the choices you have. We handle personal information in line with British Columbia's Personal Information Protection Act.

What we collect

• When you ask for a free assessment or contact us through the website: your name, phone number, email address, property address, the service you're interested in, how you'd like us to reach you, your roof's approximate age and anything you write in your message.
• When you start a website with us: the name and details of your business, your contact information, and the text, logos and photos you send for your site.
• When you call, text or email us: whatever you choose to share.
• When we do a job for you: details and photos of your roof or concrete, and the quotes, invoices and payment records we need to do the work and keep our books.
• When you visit this website: general information such as the pages viewed, the type of device and browser, and the approximate area you're visiting from. This is collected through Google Analytics, using cookies, and we look at it in summary form to see how the site is used. We don't use it to identify you.

How we use it

• To answer your questions, book assessments, prepare quotes and do the work you hire us for.
• To send invoices, take payments and keep the records the law requires.
• To support any warranty on your job.
• To build, launch and look after websites for our website clients.
• To follow up about your own job or request. If you'd rather we didn't, tell us and we'll stop.
• To understand how our website is used, so we can improve it.

We do not sell, rent or trade your personal information, and we don't share it with anyone for their own marketing.

Who we share it with

We share only what's needed, and only with:

• Service providers that run parts of our business for us, such as our website host (Netlify), the service that delivers our website forms to our inbox (Formspree), our email and analytics provider (Google), and our accounting and card-payment providers. They may use the information only to provide their service to us.
• The product manufacturer, only when that's needed to register or honour a warranty on your job.
• A financing company, only if you choose to apply for financing. You apply on the lender's own website, and its privacy policy applies to what you give it.
• Others when the law requires it, for example in response to a valid legal order.

Some of these providers store information outside Canada, including in the United States, where it may be subject to the laws of that country.

Cookies and embedded content

This website uses cookies for Google Analytics. Our homepage shows Google reviews through a reviews widget (Elfsight), and our Gonano video only loads from YouTube when you press play. Those services may set their own cookies under their own privacy policies. You can block or delete cookies in your browser settings, and the site still works without them.

Google Business Profile access

We manage Key City's own Google Business Profile through Google's Business Profile APIs, and we do the same for website clients who choose to add us as a manager on their profile. With that access we read and update profile details such as hours, description, posts and photos; read reviews and post replies the business owner has approved; and view the profile's performance numbers. We use software tools, including AI assistants, to do this work, and they act only on our instructions.

We use this information only to provide that service to the business that gave us access. We don't sell it, use it for advertising or share it with anyone else. The business owner can remove our access at any time in their Business Profile settings or at myaccount.google.com/permissions. Our use of information received from Google APIs adheres to the Google API Services User Data Policy.

How long we keep it

We keep records for jobs we've done for as long as the warranty on that job runs and as long as tax law requires. We keep messages that don't lead to a job only as long as they're useful for following up, then delete them.

How we protect it

We protect your information with reasonable safeguards, and only the people who need it to serve you can see it. No way of sending or storing information online is completely secure, so if you'd rather not send something through the website, just call us.

Your choices

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it. You can also ask us to delete it, unless we have to keep it by law. To do any of these, contact us using the details below. If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.

Changes to this policy

If we change this policy, we'll post the new version here and update the date at the top.
